How to Remove Negative Costing Tiers from Inventory
What you can Expect to Learn:
- Negative cost tiers are created when certain inventory items have a negative quantity on hand and are over-distributed.
- The "Inventory Negative Tier Report" identifies items with negative cost tiers and positive cost tiers that can be used to adjust them.
- To make adjustments, run the "Inventory Negative Tier Adjustment Register" with a specified posting date.
- Future period positive cost tiers can be used for adjustment, but it may cause the inventory trial balance to be out of balance.
- After adjustments, verify the changes by running the "Daily Transaction Register" and "Inventory Evaluation Report."
How to remove zero quantity costing tiers in Inventory Management

- Use the "Remove Zero Quantity Costing Tiers" utility to remove zero quantity costing tiers for LIFO, FIFO, lot, and serial items.
- Removing zero quantity costing tiers streamlines lot and serial number distribution and creates additional file space.
- Zero quantity cost tiers contain cost information for items with no quantity in inventory.
- To remove these tiers, access the utility in the Inventory module's Utilities menu, enter the desired date, and proceed with caution as the removal is permanent.
Inventory Item Extended Descriptions use and Management
What you can Expect to Learn:
- Sage 100 allows for Inventory Item Extended Descriptions, which appear as pop-ups when an item's description exceeds 30 characters.
- Extended descriptions can be made to pop up automatically in Inventory Item Maintenance if proper security settings are enabled in the user's role.
- To enable automatic display of full extended descriptions, go to Library Master Role Maintenance, select the user's role, and check "allow automatic display of full extended item description when not in a grid" under the Inventory Management section of Tab 2.
- Users can suppress the extended description pop-up when entering sales or purchase orders by moving the description column from the primary grid to the secondary grid.
- By clicking on the description in the secondary grid, users can still access the extended description when needed.
Inventory Physical Count Newer Features
What you can Expect to Learn:
- The first new feature is the ability to include inactive items by checking a checkbox.
- There are two additional features: "print quantity on hand" and "default quantity counted to quantity on hand," which are controlled by Sage roll maintenance under the security event tab.
- By choosing "default quantity counted to quantity on hand," the physical account worksheet and physical account entry columns become the same, except for negative quantity on hand items, which will have a quantity counted of zero.
- The variance register now has an option to only print variances, showing items with discrepancies between quantity counted and quantity on hand.
How to Assign Warehouse Status

- Warehouse codes can be set up quickly, but if not well thought out, they may lead to issues with unwanted transactions.
- There are three warehouse status options: "Active" allows normal entry, "Inactive" prevents entry and requires transferring all items out, and "Restricted" allows limited entry based on specified activities and dates.
- The "Restricted" status can be useful during physical counts or specific periods to control warehouse entries.
- Restricting warehouse access is crucial to eventually get rid of unwanted warehouses and their history.
